Work Schedule: Day Shift M-F, with occasional typically within West Virginia evening or weekends for special events

Position Summary
The Production Coordinator is a detail-driven, creative team member who helps bring West Virginia Rivers Coalition’s work to life. This role supports the day-to-day production of clear, compelling communications that help people understand what’s at stake and how they can take action.
You will work closely with the Communications Manager, who you report directly, to create and refine materials across platforms, from digital content to print pieces to video. You’ll also coordinate regularly with program and campaign staff across the organization, and occasionally with community partners, donors, and other stakeholders to gather content and align messaging. This is a hands-on role for someone who notices the small things (extra spaces, inconsistent fonts, a missing caption), values strong design, and takes pride in producing polished, accurate work.
The Production Coordinator helps keep projects moving, ensuring brand consistency across materials, and strengthens how our stories are told across West Virginia.
Key Responsibilities
Content Production + Design Support
- Support creation of digital and print materials, including social media graphics, email content, forms, reports, and outreach materials.
- Assist with design and layout using templates and brand guidelines.
- Prepare files for publication and scheduling/distribution across email, social, and website.
Editing + Quality Control
- Proofread and edit materials for grammar, clarity, tone, and accuracy.
- Ensure consistency in formatting, voice, and messaging across content.
- Catch errors and inconsistencies before publication.
Video + Multimedia Support
- Assist with basic video and production, including shortform for social media.
- Organize and manage photo and video assets.
- Support storytelling through visuals that reflect our work and communities.
Project Coordination
- Help track communications projects, timelines, and deliverables.
- Coordinate with staff across programs and campaigns to gather content, information, and approvals.
- Ensure deadlines are met and projects stay on schedule.
Communications Team Support
- Work closely with the Communications Manager to drive campaigns and ongoing communications, including a website redesign
- Support outreach to community members, donors, and partners, including coordinating content contributions, gathering stories from the field, and occasionally representing WV Rivers at events.
- Lead production for email newsletters and website updates.
- Help maintain organized systems for files, templates, and assets.
- Assist with managing EveryAction, including maintaining contact lists, segmenting audiences, scheduling communications, and tracking supporter engagement.
Qualifications:
- Relevant work experience in communications, media, design, advocacy, or related fields is preferred, but we also welcome candidates with nontraditional backgrounds, freelance experience, or strong portfolios in place of formal degrees.
- Experience supporting communications production. You understand how to take a piece from idea to draft to final – and get it out the door cleanly and on time.
- Strong writing, editing, and communication skills with focus on adaptable and accessible formats (email, web, social, print).
- Demonstrated experience with design tools (Canva, Adobe Creative Suite, or similar).
- Comfortability with WordPress, EveryAction (or similar CRM and web tools) preferred.
- Ability to utilize data to inform strategy.
- Experience placing and tracking ads
- Strong organizational and project management skills
- Ability to work collaboratively and independently in a fast-paced, remote environment

Work Location & Logistics
- This is a hybrid position based in West Virginia, with a majority of work done remotely with some in-person responsibilities.
- Employee must reside in West Virginia and maintain a private, secure personal workspace suitable for confidential work.
- While typical organization operating hours are day shift, this position requires occasional evening and weekend work to accommodate community meetings and events.
- Reliable high-speed internet capable of supporting cloud-based apps and regular video conferencing are required.
- Smartphone, used for communications and content capture. The employee may also be required to download and use company-approved apps for communication, timekeeping, and security.
Travel & Transportation
- Travel within West Virginia (approximately 15%) is required for in-person meetings and events.
- A valid driver’s license and proof of auto insurance are required for travel responsibilities.
Physical & Technical Requirements
- Ability to use a computer for extended periods.
- Proficiency in Microsoft Office 365 (Outlook, Excel, SharePoint, Teams) and familiarity with cloud-based collaboration tools.
- Experience working in remote or distributed work environments preferred.
